4. Discuss: Meet to Review the Performance Appraisal Form
The performance appraisal meeting is the culmination of the performance appraisal process. The meeting is a private, one-on-one discussion between the employee and his or her supervisor that typically lasts 60–90 minutes. During this step, your role as supervisor is to:
- Assemble materials for the meeting
- Open the meeting in a way that puts the employee at ease and encourages open communication
- Review the appraisal form in detail
- Conclude the meeting effectively
Assemble Materials for the Meeting
The supervisor should collect any applicable materials from the employee, such as self-appraisal forms, at least one day prior to the appraisal meeting. Supervisors should not share the completed appraisal form with the employee prior to the meeting, though some employers require supervisors to offer employees a copy of the form after the meeting.
Start the Appraisal Meeting
Always start the performance appraisal meeting by providing some basic context about the process to help put the employee at ease:
- Reiterate the meeting’s objective: Express that the meeting’s purpose is to discuss the employee’s performance and set goals for the future.
- Review the agenda: Inform the employee that you plan to discuss the appraisal form, answer questions, and set future performance goals.
- Encourage open communication: Offer to answer any questions that the employee may have at any point during the meeting.
Review the Performance Appraisal Form
Review with the employee every performance area that the appraisal form covers. Even if your company allows supervisors to show the appraisal form to employees, it’s usually best not to share the actual contents of the form during the meeting. Conclude the Appraisal Meeting
When wrapping up the meeting, make sure to:
- Recap the meeting’s most important points
- Offer to answer any remaining questions
- Outline goals for the next performance period
